The Role

The Executive – Immigration & Commercial Transactions will report to the Head of Commercial Transactions and Client Services and/or other senior members within the Office of the Chief Legal Officer. The Executive will manage the agency’s support of clients’ immigration needs, as well as global mobility involving CAA’s employees, by developing immigration strategy, supervising outside lawyers in achieving the company’s goals in the most efficient and effective manner, managing immigration policies, participating in the drafting and preparation of immigration and other legal correspondence, managing minors’ agency papers, negotiating and drafting commercial and vendor agreements, supporting commission collection efforts, and supporting the legal aspects of client relations generally in other areas, on an as-needed basis, such as client onboarding and commissions.

Responsibilities

Work closely with outside counsel to prepare documents and filings necessary to obtain immigration benefits, including permanent residency, work authorization and visas for employees and clients of the Company;  
Support agents, executives and other colleagues to gather information and data necessary for completion of appropriate immigration forms;  
Work closely with Human Resources to manage immigration compliance and immigration process in regard to employee onboarding, relocation and transfers; 
Track work authorization or visa expiration or limitations, for instance, so as to ensure legal compliance, or to manage renewal or extension of work authorization or visas as needed;  
Handle court approval for minors’ agency papers and other minor-related compliance work.  
Negotiate and draft vendor agreements and other commercial contracts;  
Support commission collection efforts, including researching accounting information, preparing commission protection letters and negotiating settlements of commission disputes;  
Manage stakeholder expectations by discussing deadlines, costs, timing and risks; 
Work swiftly and efficiently to ensure matters are dealt with in a timely manner and deadlines are met; 
Engage in effective written and verbal communications:  
Correspond with clients, employees and outside counsel on a daily basis via email; 
Take clear and accurate notes documenting telephone calls/meetings; 
Write accurate memoranda documenting the results of research or addressing trends in immigration laws and compliance; 
Participate in meetings and conference calls, as needed;  
Respond to requests related to immigration, as well as other general inquiries; 
Track, manage and communicate billings detailing the work undertaken on behalf of clients and employees; 
Create and maintain electronic files;  
Conduct compliance related audits or projects from time to time, as needed;  
Stay attuned to immigration trends and advise the company on best practices.
